MAS PTA JOB DESCRIPTIONS

CO-PRESIDENTS

  • Oversee all of the PTA committees and activities
  • Direct Executive Board
  • Manage & maintain PTA budget along with Treasurer
  • Communicate & manage PTA Council relationship including meetings, et al
  • Generate ideas & liaise with Principal and School Staff


CO-PRESIDENTS' RESPONSIBILITIES

  1. 2 PT Council meetings per month:
    1x/mo. On Monday am 9:15-11:30
    1x/mo. On Friday am 9:15-11:30

  2. 1 MAS PTA Executive Team Meeting per month:
    Team decides which day/night of the week is best for everyone.

  3. Meetings with the Principal and Assistant Principal every 2 weeks:
    Times and dates determined by Principal & Co-Presidents.

  4. Meetings between Co-Presidents
    Meetings/ phone calls determined by the Co-Presidents.

  5. School Board Meetings:
    Each Co-President determines how many of these they attend.
    (Exec. Members have to attend 1/year.)

  6. Meetings with the Superintendent of Schools (Paul Fried):
    Approximately 3 times a year for 1-1.5 hour

  7. 3 or 4 Elementary School Only Co-President Meetings per year:
    Wednesday day. Each school sponsors one/year.

  8. Miscellaneous Meetings:
    PTA Meetings ­ 3 per year in the evening.
    Parent-Principal Coffees ­ 1/month
    Attend events as a parent; Fair, Play, Bike Rally, et al.
    Attendance at various other PTA Events; 5th Grade Graduation, Volunteer Luncheon, et al.

  9. Miscellaneous:
    Sign checks
    Available to answer questions by phone
    Help design the school calendar for the next year.

    ALL VP’S TO ATTEND EXEC. BOARD MEETINGS ­ 1X MONTH & POSSIBLY ? DISTRICT MEETINGS


PER YEAR

ATTEND ANY GENERAL PTA MEETINGS THROUGOUT YEAR


TREASURER

  • Manage PTA budget via excel spreadsheet
  • Manage membership and Bank Savings Program
  • General bookkeeping, accounting and check writing
  • Liaise with Committee VP’s on individual project budgets, i.e., fundraisers, luncheons ­ supply cash boxes & cash for events
  • Maintain individual project budgets along with VP’s via spreadsheets so we can accurately report numbers


VP - COMMUNICATIONS

  • Manage planning council and Septa Liaison
  • Manage Pre-K Liaison
  • Manage Voter Registration/Budget
  • Manage Website/Technology, Publicity and Directory
  • Communicate and update with Co-Presidents periodically
  • Manage & maintain each committee budget & work with Treasurer to report  updates
  • Develop & Generate all committee timelines


VP - GRADE LEVEL

  • Manage 5th Grade Graduation
  • Coordinate, liaise and meet with Grade Level Chairs periodically to organize grade specific events, utilize Grade Levels to disseminate information & garner Volunteers through Class Parents
  • Manage Grade Level Chairs including their communication w/class parents on key issues
  • Meet with the Principal bi-monthly with Grade Level Chairs
  • Manage After School Clubs, Incoming K-Orientation and Beautification committees
  • Maintain budget for all Committees & report periodic updates to Treasurer
  • Generate all committee timelines


VP - INTERNATIONAL FAIR

  • Manage all facets of the Fair including:
  • Silent Auction
  • Volunteers
  • Snack Shack
  • Crafts/Games/Prizes/Food Service/Theme Baskets
  • Maintain budget
  • Liaise with other VP’s for publicity efforts, donor solicitations
  • Keep logged information/communication 
  • Communicate with Co-Presidents
  • Generate all timelines
  • Maintain budget & report periodic updates with Treasurer


VP - PARENT SERVICES

  • Develop timelines and budgets for each project
  • Projects include: Hospitality, Sunshine, Special Relatives’ Day, Newcomers/Tours, Library Volunteers, Publishing Room, Staff Recognition Day, Grade Level Parent to Parent Meetings, Volunteer Appreciation


VP - SCHOOL COMMITTEES

  • Develop & maintain timelines & budgets for each project
  • Manage Projects including: Accelerated Reader, Health & Safety/Wellness, Pictures, Student Work Celebration, Turn Off TV Week, Yearbook, Summer Reading Challenge


VP - CULTURAL ARTS

  • Work with administration & faculty for appropriate enhancements i.e. assembly’s
  • Develop timelines & budgets & maintain with Treasurer
  • Manage Heritage Month, MAS Pre-K/K Dinner/Auction and Student Cultural Arts


VP - SCHOOL PLAY

  • Manage Junior Company & Annual Spring Play
  • Develop timeline & budget


VP - FUNDRAISING

  • Develop timeline and budgets for each initiative
  • Generate new ideas
  • Oversee each committee (Book Fair, Gift Wrap, Bake Sales, School Spirit Store, School Supplies, Spring Fund-Raiser, K/Pre-K Potluck)
